Learn QuickBooks on Your Own Company File

Training built around your accounts, your vendors, and the tasks your team does every week, taught by someone who has run finance departments.

Generic QuickBooks courses teach you inside a demo company you'll never see again. Then you open your own file and nothing looks the same. Training that sticks happens inside your actual file, using your actual transactions, aimed at the specific things your people need to get right.

Baum's Accounting Services is a QuickBooks ProAdvisor practice built on 18 years of bookkeeping, controller, and CFO experience. We train office managers, admin staff, and owners across Lexington and the surrounding Kentucky markets, in person or over video. The goal is not to make anyone a bookkeeper. It's to make sure the person doing data entry stops creating problems that take three hours to unwind.

Who ends up in these sessions

Three kinds of people, usually. The office manager who inherited QuickBooks from someone who left and has been guessing ever since. The owner who doesn't want to run the software but needs to read the reports without being misled. And the new hire who has QuickBooks experience but not your setup, your accounts, or your rules. Each of those needs something different. A four-hour walkthrough of every menu helps none of them.

What a session typically covers

The agenda gets built from what your team actually does. For a data entry role that usually means entering bills and payments correctly, matching bank feed transactions instead of blindly accepting them, handling customer invoices and deposits, and knowing which transactions to flag rather than guess at. For an owner, it's reading the profit and loss and balance sheet, understanding what the numbers are telling you, and knowing which reports answer which questions. Sessions run on your file so everything transfers immediately.

Habits that prevent expensive mistakes

A lot of training value comes from a handful of rules. Never add a new vendor without checking whether one already exists. Never accept a bank feed suggestion you don't understand. Never post into a closed period. Never record a transfer between your own accounts as income. Never use undeposited funds as a parking lot. These sound small. Each one, left unchecked, generates hours of cleanup later. Teaching the person at the keyboard to stop and ask is worth more than teaching them ten extra features.

Questions we hear about QuickBooks Training

Can you train more than one person at once?

Yes, and it often works well when the group shares a role. Mixing an owner who wants report literacy with a clerk who needs transaction entry usually means splitting into separate sessions, since the material barely overlaps and one group ends up bored while the other is lost.

Do you train on QuickBooks Desktop as well as Online?

Both. The training is built around whichever version you run, since the interfaces and workflows differ enough that cross-version instruction just creates confusion. Xero training is also available for clients on that platform. Sessions happen on site in the Lexington area or over video anywhere in Kentucky.

What if my file is a mess before we start?

Then training on it teaches bad patterns. In that case the usual sequence is cleanup first, then training on the corrected file. Otherwise you're showing someone how to work inside a broken structure, which reinforces the problems instead of fixing them. The consultation sorts out which order makes sense.
