Xero does some things better than the alternatives. Bank reconciliation is genuinely faster, the interface is cleaner, and unlimited users on every plan means you're not paying per seat to give the office manager access. The catch is the same as with any platform: it only reports well if it's built well.

What Xero does differently

A few things stand out in practice. Bank reconciliation is built around a match-and-confirm flow that's noticeably quicker than working through a register. Bank rules are more flexible than most competing tools, which means more of your recurring activity codes itself correctly without review. Tracking categories give you two dimensions of segmentation, useful for reporting by location and department at the same time. And the app ecosystem is broad, so inventory, time tracking, or job costing tools that Xero doesn't handle natively can be connected.

Setting the file up correctly

Xero ships with a default chart of accounts that fits nobody exactly. It gets replaced with a structure built around your business before any real transactions go in. Bank feeds get connected and rules get written and tested against actual history rather than guessed at. Tracking categories get defined intentionally, because they're limited to two and choosing badly is hard to undo. Payroll gets connected, whether you're running Gusto, ADP, Paychex, Paycor, or another provider. Conversion balances get entered and tied to your prior records.

Migrating to Xero from another platform

Most Xero clients are coming from somewhere else, usually QuickBooks. A migration is more than moving data. Decisions have to be made about how much history comes across, how the old chart of accounts maps to the new one, and what date to convert on. Open receivables and payables need to transfer as open items so aging reports stay accurate. There's typically a short period where both systems are available for reference. Done with a plan, it's a manageable project. Done in a rush, it produces a file nobody trusts.

Keeping it clean after go-live

Xero files degrade like any other. Bank feeds drop and need reconnecting before a data gap opens. Rules that worked last year start miscoding when a vendor changes its billing descriptor. Contacts accumulate duplicates. App connections break silently after an update on either end. Ongoing management means someone checks these regularly instead of discovering them during a year-end close. This pairs with monthly or quarterly bookkeeping, or stands alone if you have internal staff handling day-to-day entry.

Should we use Xero or QuickBooks?

Depends on the business. Xero tends to win on reconciliation speed, user access, and bank rule flexibility. QuickBooks has a deeper bench of accountants who know it and stronger native job costing. Since both platforms are supported here, the recommendation comes from what your business needs rather than which tool is more familiar.

Can you move us from QuickBooks to Xero?

Yes. The main planning questions are how much history to bring over, how the accounts map, and what conversion date makes sense. Open invoices and bills need to move as open items so aging stays correct. Most migrations are best timed to a period end rather than mid-month.

Do you handle Xero payroll integration?

Yes. Gusto, ADP, Paychex, Paycor, RUN Powered by ADP, and QuickBooks Payroll all connect, and the mapping determines whether payroll data is useful or just a lump sum. Correctly mapped, you can see labor cost by tracking category, which matters if you're watching cost by department or location.
